Privacy Policy

Cache is a receipt, finance, and tax-record organizer for small and family-run businesses, made by [Your legal name or business entity] ("we," "us"). This policy explains what information the Cache app handles, where it lives, and the choices you have. The short version: your records stay yours. Cache stores them on your device and in storage accounts you own, and we do not collect, see, sell, or share your data.
1. We don't collect your data
Cache has no accounts, no sign-in, no analytics, no advertising, and no tracking. We do not operate servers that receive your information, and we have no access to anything you store in the app. There are no third-party analytics or advertising SDKs in Cache.
2. Information the app stores for you — and where
Everything below is created by you, for you. It is stored on your device, and — only if you turn these features on — in your own iCloud account and in a folder you choose in your own cloud storage.
· Receipts and documents: scanned receipts, photos, uploaded files, voice memos, typed notes, and mileage trips you attach to events.
· Business information: business names and color labels; optional QuickBooks receipt-inbox and "send-from" email addresses you enter; and, if you choose to fill it in, a Business Profile containing legal, tax, banking, and compliance details and scanned certificates.
· Extracted details: when you scan a receipt, on-device text recognition may read the merchant name, date, and amount to pre-fill the item for you. This happens entirely on your device.
· Team roster: names or contact details you add for people you plan to collaborate with.
· Preferences: settings such as your fiscal-year basis and which storage folders are linked.
On your device. Cache keeps its records in the app's private storage on your iPhone, protected by your device's built-in encryption.
iCloud sync (optional). If you enable iCloud sync, Cache stores a copy of your events, items, and businesses in the private database of your own iCloud account using Apple's CloudKit, so your records appear on your other devices. This data is governed by your Apple ID and Apple's privacy policy; we cannot access it.
Linked folder (optional). If you link a folder in iCloud Drive or Google Drive, Cache saves organized copies of your receipts and documents into that folder — arranged by year, business, and quarter — using file names based on the titles you give them. That folder belongs to you and is subject to the privacy terms of the provider you chose (Apple or Google).
3. Device features Cache asks to use
iOS will ask for your permission before Cache uses any of these. Each is optional and used only for the purpose described.
· Camera — to scan receipts and documents. Images are saved to your device; they are not sent to us.
· Photo library — to let you attach photos you already took. After you import a photo, Cache may offer to delete the original from your camera roll; it does so only if you confirm.
· Microphone — to record voice memos, which are saved to your device.
· Location — to measure the distance of a business trip you choose to record. When you start a trip, Cache uses your location (including in the background, so the trip keeps recording if you switch apps or lock your phone) and stops when you end the trip. Cache saves only the resulting trip details — miles, purpose, and date — on your device. Location is never sent to us, and Cache does not track your location at any other time.
· Face ID — to lock a Business Profile you choose to protect. Biometric data is handled entirely by iOS; Cache never receives or stores it.
4. NOT.A.CPA, the built-in tax helper
NOT.A.CPA lets you ask informal, plain-language questions about business expenses and taxes. It provides general information only — it is not tax, legal, or financial advice, and you should confirm anything important with your accountant.
How your questions are handled depends on your device:
· On-device. On iPhones that support Apple Intelligence, NOT.A.CPA answers using Apple's on-device model. Your question never leaves your phone.
· Cloud (only if you set it up). On other devices, NOT.A.CPA works only if you enter your own Anthropic API key in Settings. When you then ask a question, Cache sends your question — and, if you asked about a specific receipt, that receipt's details (title, merchant, amount, category, event, and business name) — directly from your phone to Anthropic to generate the answer. This information is processed under Anthropic's privacy policy and your agreement with Anthropic. We never receive it. Your API key is stored in your device's Keychain and is never sent to us; you can remove it at any time in Settings, which turns the cloud feature off.
If you save an answer onto a receipt as a note, that note is stored with your other records as described in Section 2.
5. Sending receipts to QuickBooks
If you enable the QuickBooks option, Cache can compose an email — using the Mail app on your device — that attaches an event's receipts and addresses it to the QuickBooks Online receipt-inbox address you entered for that business. The email is sent by your own email account through your email provider; Cache and we are not part of that transmission. What QuickBooks does with the receipts is governed by Intuit's privacy policy.
6. Sharing and third parties
We do not sell, rent, or share your information with anyone. The only times information leaves your device are the ones you initiate and control, described above: syncing to your own iCloud, saving to your own linked folder, emailing receipts from your own Mail app, and — if you added your own API key — sending a NOT.A.CPA question to Anthropic. Each of those goes directly from your device to the provider you chose; none of it passes through us.
7. Security
Your records are protected by your device's encryption and passcode. Sensitive credentials, such as an API key, are stored in the iOS Keychain. You can lock a Business Profile with a PIN or Face ID, and a Business Profile exported as a Master Document is saved as a password-protected PDF. iCloud sync uses Apple's encrypted CloudKit service. No method of storage is perfectly secure, so we encourage you to keep your device passcode and Apple ID protected.
8. Your choices and deleting your data
· Delete items or events in the app; this also removes them from iCloud sync and from your linked folder.
· Start Fresh (Settings → New Quarter) archives everything to your linked folder and then clears the records from your device; you can also clear a single year or quarter.
· Turn off iCloud sync in Settings, or manage Cache's iCloud data from your device's iCloud settings.
· Unlink a folder in Settings; copies already saved there remain in your own storage until you delete them.
· Remove your API key in Settings → NOT.A.CPA to turn off cloud answers.
· Delete the app to remove all records stored on your device.
Because we hold none of your data, there is nothing for us to delete on your behalf — but if you have questions, contact us and we'll help.
9. Children
Cache is intended for adults managing business records and is not directed at children under 13. We do not knowingly collect information from children.
10. Your rights
Depending on where you live, you may have rights under privacy laws such as the California Consumer Privacy Act or the EU/UK General Data Protection Regulation — for example, to access or delete personal information. Since Cache stores your information only on your device and in accounts you control, you can exercise these rights directly using the tools in Section 8. If you have any question about your rights, contact us at the address below.
11. Changes to this policy
If we change how Cache handles information, we will update this page and the effective date above. Material changes will be noted in the app's release notes.
