CacheKeep Privacy Policy

Effective October 10, 2026

CacheKeep is a receipt, finance and tax-record organizer for small and family-run businesses, made by Big Yeti Games, LLC ("Big Yeti Games," "we," "us"). This policy explains what the CacheKeep app handles, where it is kept, and the choices you have.

The short version: your records stay yours. CacheKeep keeps them on your device and, only if you turn it on, in your own private iCloud and in a folder you choose. We don't collect, see, sell or share your data. There are no accounts, no ads, no analytics and no tracking.

1. What we collect: nothing

CacheKeep has no sign-in and no developer accounts. We don't run a server that receives your information, and the app contains no third-party analytics, advertising or tracking software. We have no access to anything you store in CacheKeep.

2. What the app stores for you

Everything below is created by you, for you:

  • Receipts and documents: scans, photos, imported files, voice memos, notes and mileage trips you file under a business and event.

  • Money details: amounts, subtotal, tax and tip; whether something is money out, money in or a refund; categories and the Schedule C line they report on; splits between businesses; and payment-account labels you name yourself (for example "Amex Business", plus the last four digits if you choose to add them). CacheKeep never asks for a full card number.

  • Business information: business names and colors, and, if you fill it in, a Business Profile with legal, tax, banking and compliance details and certificates.

  • Contacts you add: people you scan from a business card, pick from your iPhone's Contacts, or type in, plus any notes you write about them.

  • Mileage: the miles, date, purpose and optional odometer readings of trips. A GPS-measured trip stores the distance, not the route.

  • Recurring expenses: schedules you set up (name, payee, usual amount, frequency, business and category).

  • Team roster: names and email addresses you add on the Team screen. (This roster is stored with your records. CacheKeep does not currently send invitations or share your records with anyone on it.)

  • Preferences: settings such as your fiscal-year basis and which folders are linked.

When you scan a receipt, CacheKeep reads the text on your device to suggest the merchant, date and amount. That text recognition does not send your receipt anywhere.

3. Where it is stored

On your device. Records live in CacheKeep's private storage on your iPhone, protected by iOS encryption and your device passcode. CacheKeep's own folder also appears in the Files app under On My iPhone › CacheKeep, so you can open or back up your scans, photos and voice memos yourself. Because of this, those files are also included in your normal iPhone backups.

Your own iCloud (optional). If you turn on iCloud Sync, CacheKeep stores a copy of your businesses, events, items and attached files in the private database of your own iCloud account using Apple's CloudKit, so they appear on your other devices. That data is governed by your Apple Account and Apple's Privacy Policy. We cannot access it.

A folder you choose (optional). If you link a folder through the Files app (for example in iCloud Drive or another storage provider you use, such as Google Drive), CacheKeep saves organized copies of your receipts and documents there, arranged by year, business and quarter. That folder belongs to you and is governed by the provider you chose.

Files shared into CacheKeep. When you send a file to CacheKeep from another app's share sheet ("Save to CacheKeep"), it waits on your device in Add › Inbox until you file or discard it.

The first time you open CacheKeep, it asks how you want your records protected: iCloud Sync, a linked folder, both, or neither. Nothing is turned on unless you choose it, and you can change this any time in Settings.

4. Permissions and why CacheKeep asks

iOS asks for your permission before CacheKeep can use any of these. Each one is optional and used only for the purpose described.

PermissionWhat it's used forCameraPhotographing receipts, documents and business cards. Images are saved with your records.PhotosAttaching receipt photos you pick. If you choose to remove the original from your library afterwards, iOS asks you first.MicrophoneRecording a short voice memo about an expense or trip, saved with that record.Location (While Using and Always)Measuring the distance of a business trip you start. CacheKeep keeps measuring in the background so the trip still counts if you lock your phone or switch apps, and it stops when you tap Stop. Only the resulting miles are saved. Your route is never sent anywhere, and CacheKeep doesn't use location at any other time.Face IDUnlocking a Business Profile you chose to protect. Face ID is handled entirely by iOS; CacheKeep never receives your biometric data.ContactsSaving a business contact you scanned, imported or typed in to your iPhone's Contacts app. Importing someone uses Apple's contact picker, which hands CacheKeep only the one person you choose. CacheKeep never uploads your address book.NotificationsOptional local reminders you turn on yourself: before a quarter closes, when files are waiting in your Inbox, and when a recurring expense is due. They are scheduled on your device, not by a server. A recurring-expense reminder shows the name you gave the schedule, its business and its usual amount (if you entered one), and can be seen on a locked screen.

While a trip is being measured, CacheKeep can show the live distance on your Lock Screen, in the Dynamic Island and in a widget. These are drawn by iOS on your device.

5. NOT.A.CPA, the optional tax helper

NOT.A.CPA answers informal, plain-language questions about business expenses and taxes. It gives general information only. It is not tax, legal or financial advice. Please confirm anything important with your accountant or a qualified tax professional.

NOT.A.CPA runs entirely on your iPhone:

  • On-device only. NOT.A.CPA answers using Apple’s on-device model (Apple Intelligence). Your questions, and the details of an expense when you ask from one, are processed on your phone and are never sent to us or to any other company. It’s free and needs no account or key.

  • What it needs. An iPhone that supports Apple Intelligence, running iOS 26 or later, with Apple Intelligence turned on and finished downloading. On other devices NOT.A.CPA shows that it isn’t available, and nothing is sent anywhere.

  • If you save an answer to an expense, it's stored as a note with your other records.

6. Sending receipts to QuickBooks (optional)

If you turn on the QuickBooks option and enter a QuickBooks Online receipt-inbox address for a business, CacheKeep can prepare an email in your device's Mail app with that event's receipts attached. You review it and send it from your own email account. What happens to the receipts next is governed by Intuit's privacy policy. We are not part of that transfer.

7. Third parties

We don't sell, rent or share your information with anyone. Information leaves your device only when you set it up or start it yourself:

  • Apple: iCloud Sync (your private CloudKit database) and Apple services such as Mail, Contacts and the share sheet. NOT.A.CPA uses Apple’s on-device model, which doesn’t send your questions anywhere.

  • The storage provider you pick for a linked folder.

  • Intuit (QuickBooks): only if you email receipts to your QuickBooks inbox (see Section 6).

  • Anywhere you export to: spreadsheets and year-end packages are copies made on your device and handed to the iOS share sheet. Where they go next is your choice.

Each of these goes directly from your device to the service you chose. None of it passes through us.

8. Security

Your records are protected by your device’s encryption and passcode. You can lock a Business Profile with a PIN or Face ID, and iCloud Sync uses Apple’s CloudKit. No storage method is perfectly secure, so please keep your device passcode and Apple Account protected.

9. Deleting your data

Because we hold none of your data, everything is deleted with tools you control:

  • Delete an item. Deleted items (receipts and other records) are removed from iCloud Sync and your linked folder right away, then kept on your device in Settings › Recently Deleted for 30 days so you can undo a mistake. After 30 days they're removed automatically. You can also delete one for good, or tap Empty Recently Deleted.

  • Delete an event, business or contact. This happens immediately and isn't kept in Recently Deleted. Deleting a contact in CacheKeep doesn't remove them from your iPhone's Contacts app.

  • Start Fresh (Settings › New Quarter) saves to your linked folder if you have one, then removes your events and their files from this device and from iCloud Sync. Clear a Specific Period does the same for a single year or quarter. If you haven't linked a folder, those records aren't kept anywhere else.

  • Turn off iCloud Sync in Settings to stop syncing. Turning sync off doesn't erase the copy already in your iCloud. To delete it, remove CacheKeep's data from your iCloud storage in your device's Settings ([your name] › iCloud › Manage Account Storage, where available).

  • Unlink a folder in Settings. Copies already saved there stay in your own storage until you delete them.

  • Delete the app to remove everything CacheKeep stored on your device.

10. Children

CacheKeep is meant for adults managing business records. It isn't directed at children under 13, and we don't knowingly collect information from anyone, including children.

11. Your rights

Depending on where you live, privacy laws such as the California Consumer Privacy Act or the EU/UK GDPR may give you rights to access or delete personal information. CacheKeep keeps your information only on your device and in accounts you control, so you can use those rights directly with the tools in Section 9. If you have questions, contact us.

12. Changes to this policy

If CacheKeep's handling of information changes, we'll update this page and the effective date above, and note important changes in the app's release notes.
